Terms of Service
The agreement between you (the contractor or business buying a cost plan) and BuildPilot. Plain English where possible, governing law England & Wales.
1. About BuildPilot
BuildPilot is operated by O&K Property Works Ltd ("BuildPilot", "we", "us"), a company registered in England & Wales, based in London. By placing an order, you agree to these Terms.
2. Who can use it
BuildPilot is built for UK construction professionals — contractors, sub-contractors, developers, project managers, architects, quantity surveyors, and the property-trade ecosystem around them. You confirm that:
- You're 18 or over.
- You're acting in a business or trade capacity (not as a consumer).
- You're authorised to enter contracts on behalf of any company you list at checkout.
If you're a consumer (buying for your own home, not as part of a trade), most of these terms still apply but you keep your statutory consumer rights (Consumer Rights Act 2015).
3. What the service is
BuildPilot produces NRM2-format cost plans for construction projects using AI. You provide a project brief, drawings, schedule of works, or other documents. We process them through our AI engine and return:
- A structured cost plan: substructure, superstructure, finishes, services, externals, with line items, quantities, units, rates, and subtotals.
- Notes on assumptions, risks, and exclusions.
- Indicative London merchant-rate pricing.
The cost plan is a working estimate, not a chartered quantity surveyor's formal report. See §8 on liability for what this means in practice.
4. Pricing & payment
BuildPilot charges 0.1% of the project value you declare on the order page, with the following floor and ceiling:
- Minimum: £25 (for projects under £25k).
- No subscription. One-off payment per estimate.
- Your first estimate is free — no card needed for the first one.
Indicative pricing examples (excluding VAT, no VAT charged unless your project value exceeds VAT thresholds):
- £25,000 single-storey extension — £25
- £100,000 loft conversion — £100
- £250,000 full refurb — £250
- £500,000 substantial build — £500
Payment is processed by Stripe. We never see or store full card details.

6. Delivery
Most cost plans are delivered to your email within 30 minutes of payment. In rare cases (very large documents, peak demand, or where our AI model needs clarification), it may take up to 24 hours.
If we can't deliver within 24 hours, we'll refund you automatically and notify you by email.
7. How you can use the output
You own the cost plan we deliver. You can:
- Use it internally for tender preparation, budgeting, or feasibility.
- Share it with your client, your QS, your architect, or your sub-contractors.
- Modify it — add your markup, your own rates, your own line items.
- Use it as a starting point for your formal tender submission.
You may not:
- Resell the cost plan as a standalone product (i.e. as a "BuildPilot estimate" for a third party who didn't pay us).
- Use it to train a competing AI model.
- Strip BuildPilot's attribution from it and pass it off as your own QS's chartered report.
8. Liability & the QS disclaimer
You agree that:
- You're responsible for spot-checking the cost plan before using it commercially.
- Final pricing in any contract you enter is your responsibility.
- Site-specific costs (access, ground conditions, listed-building constraints, party-wall obligations) may not be reflected unless you noted them in the brief.
- Rates move with the market — a cost plan delivered today may differ from one produced six months later.
To the maximum extent permitted by law, our total liability for any claim arising from your use of BuildPilot is limited to the amount you paid us for the specific cost plan in question. We exclude liability for indirect or consequential losses (loss of profit, loss of business opportunity, loss of contract).
Nothing in these Terms excludes liability for fraud, death or personal injury caused by negligence, or any other liability that cannot be excluded by law.
9. Your data
How we handle your data is covered separately in our Privacy Policy. The short version: we don't sell it, we don't use it to train AI on the open market, and Anthropic (our AI provider) does not train on customer API data.
10. Intellectual property
- You own the project briefs, drawings, schedules, and other inputs you upload. You grant us a non-exclusive, royalty-free licence to process them for the purpose of generating your cost plan.
- You own the cost plan we produce for you.
- We own BuildPilot itself — the software, the brand, the underlying methodology, the marketing materials.
11. Acceptable use
You agree not to:
- Submit illegal content or content that infringes someone else's rights.
- Use BuildPilot to plan unlawful works (e.g. unpermitted demolition, listed-building damage).
- Reverse-engineer, scrape, or attempt to obtain the underlying model weights.
- Use automated systems to flood our order endpoint.
- Resell BuildPilot output as a chartered QS service if you are not a chartered QS.
12. Changes
We may update these Terms from time to time. Material changes (anything that affects your rights or our obligations) will be notified by email at least 14 days in advance. Continued use of BuildPilot after a change means you accept the updated Terms.
13. Termination
You can stop using BuildPilot at any time — close your account by emailing [email protected] or via the billing portal.
We may suspend or close your account for breach of these Terms, fraud, or non-payment. We'll give you reasonable notice and a chance to remedy the issue, except in cases of serious or repeated breach.
14. Governing law & jurisdiction
These Terms are governed by the laws of England & Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England & Wales.
